How to Find a Good Transcription Service

Finding a reliable and reputable transcription service can be like trying to find a needle in a haystack. You can find a company that looks good, but unless you know what you should be looking for, you might wind up with a dud. Here are some things that you will want to know about prospective transcription companies.

Is their Web site well constructed and professional looking?

If a company has a Web site that looks like a three year old designed it, it might well be that their transcripts bare similar qualities. Always try to find a professional looking transcription company if you want professional looking transcripts.

Where are they located?

Some transcription companies do work internationally, but others do not. An international company will transcribe your file regardless of whether you're located in Toronto, Ontario or New York, New York.

Can they transcribe most types of audio?

You can spend hours painstakingly seeking out and selecting the perfect transcription company only to find out that they only transcribe MP3's. Reputable transcription companies that can handle most types of audio will list the audio types that they can transcribe on their Web site.

Do they outsource to offshore transcription companies?

When you're looking for high quality transcription in your native tongue, this can be a bad thing. A high quality transcript has no margin for errors.

Do they use voice recognition software to transcribe?

For the highest level of quality, a transcription company should have real transcriptionists typing your transcript. Try to avoid companies that use voice recognition software to produce transcripts.

Do they have customer testimonials on their Web site? Why not?

If a transcription company is reputable and has satisfied customers they will generally have customer testimonials on their page. Customer testimonials are almost like reviews of their products and services. Try to find a company that has several positive customer testimonials or reviews.

Are they well known on the web?

Type their domain name into a search engine and see how many results are returned. A new or unrecognized company will bring very few results. While it might be less expensive to go with a lesser known company, the final transcript might be of a low quality.

Do they have enough transcriptionists deliver your transcripts on time?

While very few companies post this information on their page, you can sort of get the idea through customer testimonials and reviews. Companies that employ ten or less transcriptionists generally do not have enough manpower to cover busy influxes, and many companies will miss a deadline before they will refuse work.

Do they post their rates on their page?

Many transcription companies don't post their rates on their page, and seemingly provide quotes out of thin air. Often times with these companies, you find hidden fees and a lot of extra charges when you get your invoice. Try to find a transcription company that provides its rates on its page and that offers firm quotes. That way there will be no surprises later.

Are their prices too low?

Bargain basement prices generally mean bargain basement transcripts. As a general rule of thumb, the cheapest company is not always the best. Look around and compare prices and services.

Do they offer discounts?

Some companies offer discounts to first time customers, etc. If it's your first time using a transcription service, why not go for the company that offers a discount? Companies that aren't busy don't offer discounts, so discounts are a sure sign of a successful transcription company.

Do they have the ability to treat your transcripts confidentially and securely?

If their Web site doesn't say it, they probably don't. The last thing you want is for your audio recordings to fall into the wrong hands. Make sure you go with a company that mentions security and confidentiality directly on their Web site.
