Offering References for Your Transcription Services Company

Oftentimes, a potential client will ask for one or more references from your transcription services company's clients. They want to know from those who have used your services if the work was satisfactory and know more about the company as a whole.

When a potential client asks for some references, you should be able to provide them with the names and email addresses of as many clients as they need. First and foremost, always ask the clients if it is okay to give out their email addresses to the potential client. Once you have approval, then you can go proceed and offer the names and email addresses to the potential client.

You should not have any issues obtaining the information necessary if your company has a good reputation. Once you have provided them with the information, they will, in turn, email those clients and ask questions. Some of the questions they might ask are:

1. How much work did you send this transcription company?
2. Was the work returned to you on time or before the deadline?
3. Did the work meet or exceed your expectations?
4. Do you feel their rates were affordable?
5. Was the staff courteous and helpful?
6. Would you use their services again, as needed?
7. How would you rate this company?

Most say this is one of the most heavily used ways of obtaining new clients. Potential clients want to know everything about a company before they use their services. Transcription services is no different.

In order to provide some good references, the work must be of high quality, and the only way to do that is only contract with the best of transcriptionists and either proofread the work yourself or hire some proofreaders. The need should not arise to hire proofreaders if your team of transcriptionists is top-notch. Providing your transcriptionists with a style manual of some sort will guarantee consistency in the work. However, even the best of transcriptionists will not be error-free at times, so you must proofread every file before it goes out. Use your own company's custom template for all the work, except, of course, when a client specific template is necessary. Always be willing to use a client-specific template. Client need comes first.

This is why it is very important to produce quality work at an affordable rate for your clients and meet their needs. Always be there for them. In the long run, they will be willing to offer a reference to a potential new client, and you, in turn, will gain new clients, quite possibly, on an ongoing basis.
