Podcasts were initially used to allow people to distribute their own content or radio style shows to a wider audience. The clarity of a podcast digital recording has been ideal for a variety of media, such as school lessons, tourism audio guides, oral history interviews, radio programmes, magazines, political broadcasts, sermons, TV commentary, newspapers and even health guides.
So why do you need a podcast transcription if you have the audio? The content of audio recordings on the Internet is not readily searchable and, therefore, indexed and classified by the search engines. This renders your podcast almost invisible unless you spend time advertising it or loading the show notes with relevant keywords. Increasingly, podcasters are providing a transcript of either excerpts to be included in the show notes, or a full transcript of the podcast, which can be uploaded to the Internet alongside the audio recording. The transcript will then show up in the search engine results like any other document or website.
It could be argued that a podcast is already in an accessible format and why add to the reams of written material already on the Internet? Some people say it defeats the object of listening to a podcast and takes away the impact of the atmosphere and style of the voices. Reading a transcript can also be helpful if the voices on the podcast are hard to understand, such as when someone speaks at ‘machine gun speed’. Trying to concentrate to catch every nuance of what they’re saying can be very wearing! Having a back-up transcript can be helpful in such circumstances for those who would prefer to read rather than listen, and to perhaps clarify any bits they didn’t hear clearly the first time round.
What is important is that podcasters should provide their audience with a choice. Sometimes people will prefer to listen to the entire programme and sometimes they’ll choose to read a transcript; and that choice can be governed as much by the time available to them as by their personal preferences. A quality podcast supported by a transcript will always generate more interest and a bigger audience than an audio podcast on its own.
So, having decided that transcribing your podcasts is a good idea, what else do you need to consider? You need to decide what type of transcript would be suitable. In the transcription industry, there are generally three styles available: Complete Verbatim, Intelligent Verbatim and Edited Transcript. The most popular choice for podcasts is Intelligent Verbatim. This ensures a full, accurate transcript but omits all the 'ums', 'ahs', repetitions and verbal habits people develop, such as excessive use of 'you know' and 'kind of'. These meaningless fillers add nothing to the context of the transcript and take longer to transcribe. It makes sense to cut all that out, but leave the rest exactly as spoken, to retain the overall style of the person speaking. This also makes for a much easier transcript to read, and significantly cuts down on transcription time and costs. For podcast interviews, there may be a happy medium whereby the questions can be 'tidied' up and the interviewee's responses left in full.
Complete Verbatim is a transcript of absolutely everything said, including every repetition, verbal quirk or instances where people drift off in mid comment with no logical end to a sentence. It endeavours to capture the conversational 'style' of the person, plus any dialect patterns and emotions where applicable. This obviously increases the time it takes to transcribe a podcast and it can also make for a very tedious 'read'! Most of us don’t talk in completely coherent sentences, so this tends to be the least popular of the transcript style options. A good halfway house is an Edited Transcript which is very useful for podcasts, particularly for guides and lessons where the content is critical but perhaps the style or verbal quirks of the speaker don’t need to be included. Any incorrect grammar, non-standard English or mistakes are corrected and sentences are tidied up where it’s sensible to do so.
Once you’ve decided on the type of transcript you need, it may also be useful to consider transcription times – how long it will actually take to transcribe your podcast. The professional industry standard allows one hour to transcribe 15 minutes of clearly recorded speech. It therefore takes a minimum of 4 hours to transcribe a one hour recording and sometimes as much as 6 hours depending on a number of factors. These include how clear the recording is, if an external microphone was used, the clarity and speed of the voices and the number of people speaking, how coherently they speak and whether there are any difficult accents, plus whether any background noise is intrusive or if there’s any industry specific or technical terminology involved. 12 Things to Consider When Outsourcing Transcription Work

When setting out to outsource the transcription of a recording, the main idea in most people's minds is to get a printed version of the audio/video recording. But it may be a good idea to give the whole exercise a little more thought if you want a document that a) you can use, and b) doesn't cost you a bomb.
Here are some points to consider:
1. How accurate do you want the transcripts to be?
If you've heard the recording (or intend to do) and need a transcript only for your personal use, then you may not require a very high level of accuracy (around 85-90% should be enough). Less accurate transcripts require fewer rounds of proofing and therefore cost less. This should be mentioned at the time of hiring a transcriptionist and discussing transcription rates.
If you don't intend to hear the recording OR the transcript is going to be shared with others (especially customers) then you would do well to choose a higher level of accuracy (98-99%). Again, this should be discussed with the transcriptionist or transcription company because a higher level of accuracy requires more time and consequently costs more.
2. Transcription styles
There are mainly 2 styles of transcription used - Verbatim & Clean Read.
Verbatim transcription involves typing out every word and sound on the recording along with non-verbal communication such as laughter, pauses, etc. This style is ideal for research and analysis but if you're simply looking for the main ideas on the recording, a transcript based on this style may be cumbersome to read.
Clean read transcription makes for easier reading. It involves typing every word but removing irrelevant content such as fillers, false starts, side conversations, etc.
Verbatim transcription takes longer and therefore costs more. As such, the transcription style should be discussed with the transcriber at the beginning of a project.
3. Does your recording involve technical terminology?
If yes, then you would need to decide if you want your transcriptionist to research these terms at the time of transcription. If you prefer to fill in this information yourself, you can instruct the transcriptionist to leave time-stamped blanks at the places where these terms appear in the recording (the time stamps will help you quickly skip to the relevant part of the audio at the time of proofing).
Research adds substantial cost to transcription and this should be considered when outsourcing transcription work.
4. Does your recording involve heavy accents?
If yes, then it would be wise to choose a transcriptionist who is familiar with the accents involved. For example, not everyone can transcribe an Australian or Irish accent unless they have a trained ear for these!
Check with your transcription company if they have experienced transcriptionists to handle different accents.
5. Turnaround time
A single hour of clear recording takes 3-4 hours to transcribe and 1-2 hours to proof. This will go up if the recording involves accents, background noise, multiple speakers, etc. The standard turnaround time of most transcriptionists and transcription companies is 3-5 days. If you need the transcript sooner than that, you may have to pay 'rush' charges. It would be a good idea to discuss this beforehand.
6. Is the recording clear?
If your recording has background noise, recording issues, or people talking over each other, then the transcriptionist will have a tough time deciphering what's being said. Such audio normally requires several rounds of proofing to reach a decent level of accuracy and consequently takes longer to transcribe. The costs involved are also higher. If you have such a recording, it may be a good idea to send a sample file to your transcriber so that they can give you an accurate evaluation and quote. You can even ask for a paid sample to see if you'd be getting your money's worth.
7. Number of speakers
If you're not particular about speaker identification (i.e. marking each speaker's name separately and correctly) then you need not worry about this point. However, if you do need speaker identification, then it's a good idea to check with your transcriber if they can do it for you. Usually 2-3 speakers are not a problem, but when the numbers go beyond that, the transcriber has to carefully listen to each voice in order to mark speaker names accurately. Not everyone can do this well and therefore it's a good idea to choose an experienced transcriber or transcription company for such audio.
8. Formatting
This is an important one if you don't want to land up with a long document without any paragraphs or page breaks! Let your transcriptionist know that you would need the text broken into short, easy-to-read paragraphs with page breaks at appropriate places. You can also ask for additional formatting such as headings, subheadings, special margins, italicizing of text, etc. This may involves additional time and cost, but is worth it in the long run.
9. Editing
Many transcription companies provide editing services that can be used for creating a ready-to-use documents. Editing services may include checking the transcripts for grammar, punctuation, sentence structure, fillers, false starts, slangs, etc. You can also ask for the text to be placed under contextual headings/sections or have the transcript converted into an information product such as an e-book, blog post, workbook, handout, PowerPoint presentation, etc.
10. Transcription of videos
Most transcription companies convert video files to audio format before beginning transcription. This, however, may not be possible with certain video formats or with streaming videos. In such cases, the recordings cannot be loaded in to transcription software and has to be transcribed directly from the video recording. This takes longer and costs more. Checking on the additional costs involved for transcribing videos may be a good idea.
11. Sending files
How are you going to send files to the transcription company? Do they provide online space where the recording can be uploaded? Can you email the file to them (i.e. if the file is not too big to be emailed)? How will the transcript be delivered? Can you use FTP or send a link to the recording?

Transcription Services - What Sets the Professionals Apart?

Search for 'transcription services', or variations thereof, on Google and it throws up thousands of results. Even if you narrow it down by searching for specialist services such as 'interview transcribing' or 'conference transcription', it still results in a large number of websites. So how should clients choose?
There are a number of factors which should be taken into account when assessing whether a company is suitable. Price alone should not govern your choice. A transcription company's answers to a number of questions should reveal the ones with a professional approach. Each subject is dealt with in more detail below but briefly, these questions can be summed up as:
* Do they have enough transcribers?
* Who does the transcribing?
* Is the audio listened to a second time?
* How much time will the transcriber spend on research?
* Is the transcript proofread?
* Do they offer project management for large projects?

All the above should automatically form part of the service provided by transcription companies and be included in their price.
Do they have enough transcribers?
Or put another way, do they take on more than they can chew? Transcription companies should be aware of the limitations posed by the number of experienced transcribers they have available. Too often companies can take on large projects with short turnaround times and fail to ensure that an adequate number of suitable transcribers are available. This results in clients receiving rushed transcripts completed by innumerable outsourced transcribers. Very little time will have been taken to minimise queries and proofreading may well be non-existent. Sometimes, the sheer volume of material that the transcription company takes on means that not everything in that project will have been checked by any supervising hand. No transcriber should compromise on quality by taking on more transcription than they have the capacity to deal with.

Who does the transcribing?
Only highly experienced transcribers should be used. Transcribing is not a suitable task for an audio typist with a few years' experience in an office. Each transcriber should have excellent grammar and language skills, exceptional accuracy and proofreading ability, and most important of all, be able to 'think' and recognise inconsistencies in the spoken word, spot contextual errors, be confident with different accents, dialects and be able to interpret voice inflections; all without altering the original meaning and style of the speaker.

A supplementary question should be: is the transcription outsourced and if so, where to? Is the standard of the outsourced transcriber of a high enough quality to provide the service you need? This may be a controversial area but if a recording is in English, we firmly believe the transcriber's mother tongue should also be English. If the recording is in Chinese, the transcriber's mother tongue should be Chinese, etc. For example, clients in the UK should think carefully whether the standard of transcript provided by overseas agencies can ever match the same high quality provided by English speakers. There could be a problem with accuracy when transcribing difficult accents, dialects and slang terms which can differ enormously from country to country. We've been asked by clients to correct transcripts completed abroad and some of the mistakes could have been catastrophic, for example, providing wrong medical details.
Is the audio listened to a second time?
We believe all recordings should be listened to a second time once the transcript has been completed. We're not just talking about listening again while it's being transcribed in order to clarify any inaudible bits, but listening to the whole recording from beginning to end against the transcript once it's initially completed. This is an excellent way of clarifying any queries and also ensuring that the sense and context of the transcript as a whole is captured accurately. Incorrect punctuation or the wrong stress on words can change the meaning entirely, and it's often not until you listen to the sentences in full that you can pick up a speaker's meaning, and be absolutely sure that the sentences are broken up correctly. Listening to snatches of a few words here and there, which is inevitably what transcribers do when they're typing, often misses some of these intonations and the wrong interpretation can be put on a phrase. Even with clear recordings where transcribers can be fairly confident that they've captured everything accurately the first time, we believe it's important to listen again. Words which were supposedly clear on the first listen through may suddenly be heard differently, particularly in the context of the whole paragraph. It's a trap many inexperienced transcribers fall into regularly. A professional service will be aware of this and should automatically include this extra check for clients, and without charging extra for it.

How much time will the transcriber spend on research?
In most recordings, there will be names, places or terminology which won't be automatically familiar to a transcriber. Each service should be prepared to spend additional time checking that these names and terms are correct, thus ensuring a minimum of queries. If a client provides a list of names or keywords, it can be helpful to minimise the time spent checking, but transcribers should be offering this research as part of the service provided, again without charge. It's fairly easy to check names, places, keywords or even terminology on Google. However, transcribers should obviously be aware of the pitfalls of only checking one or two Internet sources; as we all know, accuracy varies tremendously across different websites. Each website consulted should be from a reliable source and be supplemented by any reference books which should be in a transcriber's office anyway. A client should receive a transcript and be confident that all the names and terminology have already been checked.

Is the transcript proofread?
All transcripts should be thoroughly proofread after they've been completed. This is the only way to pick up any typos or inconsistencies or spot where something doesn't make sense in the overall context. A supplementary question would then be: proofread by whom? Each transcript should be read by a pair of eyes other than the original transcriber. Some transcription companies claim to proofread transcripts but when you look at their small print, the proofreading is only done by the outsourced transcriber. No project manager or overseeing eye has even looked at their transcripts. When this happens, not only are mistakes not picked up but any missing or unclear words aren't clarified. These 'inaudibles' may only have been the result of one transcriber not hearing a name properly on a recording, whereas another transcriber on another recording might have picked it up more clearly. Without one supervising mind both re-listening and proofreading, these corrections and gaps are never filled in - resulting in an incomplete and inaccurate transcript.

Do they offer project management for large projects?
All transcription companies should provide project management of large assignments at no extra cost. This enables clients to concentrate on their project, confident in the knowledge that the audio transcription side will be taken care of. Instead of dealing with a range of different transcribers for a large project, transcription companies should coordinate everything, leaving the client with one point of contact throughout. Where necessary, transcription services should convert audio files to a compatible transcription format, distribute digital audio files to their team of transcribers, and ensure that all transcripts are completed to meet deadlines. Too many transcribers accept large assignments without the project management skills to handle them. This results in transcripts not being proofread (other than by the outsourced freelance transcriber who types them) and recordings are not listened to again to resolve any queries. In short, there is no single guiding hand overseeing all the transcripts and this results in a very uneven service.

So, what else should clients expect from a professional transcriber?
Transcription companies should be aware of all the factors influencing the length of time it will take to transcribe any recording, and should build this into their price range, turnaround times and staffing levels for any project. They should be prepared to brief a client accordingly so that they have realistic expectations. It may be helpful for clients to realise that one hour of recording does not take one hour to transcribe. We speak much faster than we can write or type - otherwise there'd be no need for shorthand or stenographers! It takes a minimum of four hours to transcribe a one hour recording, and can take longer if the recording is of poor quality or there are many participants. Timings can also be influenced by the type of transcript needed, whether that be Complete Verbatim, Intelligent Verbatim or an Edited Transcript.

If you approach a transcription company, it should soon become clear whether they know what they're talking about, and that they are offering you the correct level of service and that their promises are realistic. The schedule for professional transcribers tends to fill up fairly quickly, but this in itself should be an indication of the quality of their service (in the same way that a company which has lots of space at short notice should raise questions in a client's mind about the quality of their service). Clients should, if possible, think about booking a transcription service as early as they can, and preferably well in advance of a large project. Waiting until the project is completed and then trying to find an experienced transcriber at short notice could prove difficult. Most professional transcription companies have a long list of regular customers and suddenly finding a large block of free space at short notice may not be possible. So book your transcription company in advance, in the same way as you would the interviewees and venues. If you contact a transcription service in advance, they can offer advice on facilitating and recording your project. Transcribers have years of experience and know what works and what doesn't work to achieve a good recording - use that knowledge to make your job easier.
Clients obviously want a cost effective service, but we hope that professionalism, reliability and meticulous, accurate transcripts are equally important. If someone offers transcription services at a ridiculously cheap rate, it's unlikely they have much experience. We've heard numerous horror stories from clients who've used transcriptionists who charged a very low rate. Clients have received what amounts to nothing more than a draft transcript, with inappropriate punctuation or incorrect words, or they've had to wait several weeks for their transcripts. The client has then wasted time checking and correcting the transcripts themselves; so the cheap price ended up being a false economy.
To help you choose a transcriber, it may be worth examining other aspects of their business to help you make your choice. Look at the number of years they've been in business, not just the years they've worked in an office. Judge them on amount of time they've been running their own independent, self employed business. Check their confidentiality statement and their willingness to sign non-disclosure agreements. Ask them if they operate only during normal office hours or will they go that extra mile to cover your urgent evening or weekend transcripts? Transcription companies should offer a flexible service to meet the needs of their clients, not their own convenience.
And finally, look at their testimonial page on the website. If it isn't there, ask yourself why and perhaps request past client contact information. If there are testimonials, reflect on the quality of them, the range of clients served and the content. The glowing ones will soon stand out and in today's busy world, if a client has taken the time to compose more than a standard sentence, then that should give you confidence in the quality of the service on offer.
