Tips to transcribe difficult terms

Materials that are full of technical, financial or specialized terminology may be unfamiliar to the transcriptionists. It may be necessary to listen to words, terms, sentences or even a whole section several times in order to transcribe them properly. In such circumstances, it helps enormously if a glossary of keywords can be provided in advance or words can be spelt out while dictating.

If you are working with a new author or in a new area of business, you would be wise to get prior information about vocabulary and difficult words that may crop up. These words may not be specialist terms but may just be terms that are specific to the particular recording to be transcribed. Getting such a glossary avoids you using incorrect words throughout a document. Also, if you have a prior knowledge of a topic and information on the kind of words or names that may come up, you will find it easier to decipher words that on the first hearing you may think are audible.

Knowing how to spell difficult names or words will help not only to make the final version of your document more accurate, but it will make your task more enjoyable. There is nothing more frustrating than hearing a word time and time again and having no way of checking whether you are transcribing it correctly. This is particularly the case with people’s names because no dictionary, specialist or otherwise will help you check the accuracy of the spelling.

If you are transcribing the recording of a meeting, you might wish to ask for a glossary, which contains the following-

1. The name of the attendees

In addition to requesting a glossary from the authors, you may find it helpful to note down, as you transcribe, any words that you find difficult to hear or spell for your own future reference. Can Voice Recognition Technologies Make Transcription Services Redundant?

Many businesses need to convert recorded voice to text and have long been looking for ways to do it quickly and inexpensively. Transcribing medical dictation is a prime example.

Some years ago, when voice recognition software became commercially available, most people expected that the solution had finally arrived. Businesses looked forward to cutting down on transcription costs and everyone who hated typing looked forward to getting rid of their keyboard.

Unfortunately, the reality turned out to be rather different. Voice-to-text technology has been a big let down so far.

The fact is, voice recognition software is easily thrown off track by many different factors. If you don’t speak clearly and distinctly, it may not give you the right output. If you try using it in a noisy place, it will fail more often than not. If you have an accent, it may not understand you. Even if you have a bad cold, you’ll find that the software may give incorrect results!

In other words, voice recognition software works reasonably well under ideal, laboratory conditions, but not in a typical home or business setting!

Healthcare professionals who attempted to use voice recognition technologies to eliminate transcription services found that they need to “train” the software to function well. That takes a long time and a lot of work. Most wound up continuing to outsource their medical transcription work.

Of course, there are many other types of situations where transcription is needed. Examples include recordings of seminars, teleconferences, interviews and classes that need to be converted to text.

In natural speech, people tend to use lots of “aahs” and “umms” as well as unnecessary phrases like “you know”. Current voice recognition technology is just not capable of filtering out such irrelevant sounds or words.

Maybe sometime in the future someone will invent voice recognition technology that can handle all the above issues. Till then businesses will need to use transcription services, particularly for work like medical transcription, where accuracy is critical.

Medical transcription jobs have been growing at a faster rate than the overall economy for many years. However, I do not believe that these numbers accurately reflect the realities of the supply demand equation for an industry historically plagued by excess demand. For example, they fail to take into account the fact that literally thousands of the most experienced MT's will be retiring and exiting the industry in the coming decade. These people are part of the aging baby boom population whose movement into retirement promises to create one of the most significant social upheavals in US history. This will result a high concentration of new transcription job openings in the coming decade just to accommodate attrition. This is in addition to the 14% organic job growth forecast by the BLS over the same decade.

The interesting thing to note is that it requires many years of active transcription experience to achieve the level of aptitude and productivity possessed by these industry veterans. It will not be possible to replace these experienced practitioners on a one-to-one basis. In other words, it will require more than one new graduate of a medical transcription school to replace the lost production capacity of one retiring veteran. The industry is relying on improvements in healthcare documentation technology and a continued reliance on overseas outsourcing to bridge the inevitable production gap.

As a part of the multi-trillion dollar healthcare industry, the trends shaping the future of medical transcription include a host of demographic, political, and legal factors. These include:

A growing population.

A rapidly aging population.

An increased reliance on healthcare systems to extend life.

A rapid increase in chronic and age related infirmities requiring acute care.

A proliferation in the number of malpractice lawsuits - resulting in higher levels of detail in healthcare documentation.

An increasing reliance on medical specialists resulting in multiple visits to a variety of different physicians - all requiring documentation.

Outsourcing medical transcriptions & saving 40% is a wise option to cut down costs for difficult times ahead –

Identifying and implementing cost cutting measures has become more important now than ever before, and a step towards that objective is outsourcing medical transcriptions, it is estimated that a whooping 40% can be saved if this service were to be assigned to an outside agency, rather than doing it in-house by hospitals.

A very large integrated health care provider in Texas commissioned a consulting company to suggest cost cutting measures by reducing expenses and thereby using the revenue to provide excellent quality care to more than half a million patients visiting the two 500 bed hospitals every year.

The commissioned company presented the findings, and on top of the list of cost saving remedial measures suggested by the company was to contract an outside agency or outsource the health information management (HIM) medical transcription.

And in support of the measures, the company included a report of a six month study which evaluated the transcription quality of outsourced service providers, the turnaround time, the productivity and the all important cost that these companies charged, a detailed break-up of transcription cost and production indicated that the in-house transcription facility of the hospitals was costing 40% more than what outsourced companies charge.

It estimated that the two hospitals annually were spending close to $250,000 on preparing medical records of the patients, and if the same services were contracted to an outside vendor, the hospitals would be paying only $146,000, a clear savings of $104,000 annually.

As a further study to match the quality of services of an in-house versus a contracted outsourced company, the internal departments of the hospitals preparing the medical records were studied, and the degree of accuracy, consistency and quality was closely monitored and matched with the outsourced vendors .

It needs to be emphasized that the outsourced vendor companies were as good as their in-house counter parts, and in fact the turn-around-time of outsourced companies was faster than the in-house operations, the other fact that came to light was, the hospitals were using obsolete transcription equipment and where as outsourced companies used newer equipment, because of which the productivity was more efficient and less time consuming.

The study further concluded that contracting outside companies for transcription services could further save the hospitals in investing on costly equipment, besides costs on training of in-house staff. The study was a clear pointer for outsourcing medical transcriptions and cutting costs.
