The Fundamentals of Medical Transcription Services

Transcription of medical records by hearing the audio dictations of doctors’ and transcribing into text document or record is the basis of medical transcription services. In many countries, due to unlimited number of patients, the doctors will not find time to write down the charge sheet of each patient on his own. So, whenever he finds time, he would record the case history of the patient and the medications and treatments to be given in a digital recorder or any other recording devices. The work of the transcriptionist is to hear the record of the physician and type the dictation without making any changes or mistakes and send it to the doctor. This article tells you what is the actual process of transcription and how does a transcriptionist work in this field.

The doctor uses a digital recorder which is either hand held or attached to a computer for recording the case history of the patient. He gives the patient’s name, sex, age and other particulars and then describes the nature of illness, treatment to be given and medications to be prescribed. The voice of the doctor should be very clear and the entire process of the transcribing service depends on the clarity of the voice of the doctor.

The accuracy of the medical transcription services squarely depends on how expertly a doctor recites the illness and how accurately he narrates the treatment and procedure. Then the recorded file is then digitally transmitted by the service department of the clinic or hospital using memory card device and subsequently the medical transcriptionist get access to the voice recorded file. Sometimes, if a doctor privately hires a transcriber for him, he would directly give the recorder to the person concerned. In this job, fastness and accuracy are the two essential qualities for a transcriber. He should be very fast in completing the work within the scheduled timeframe so that the doctor gets access of the physical file during his next visit to the patient.

Transcribers have set of foot pedals, a headphone and a computer for completing the work. Voice files are downloaded from the server which the transcriber hears through the headphone and she types on the details as it is heard by her. This is the way in which the voice files are getting transferred into text documents in medical transcription service. She listens to the dictation of the doctor through the headphone and as and when she hears the word she types manually on the screen. The transcriber should have excellent typing speed and should have talent for typing without mistakes.
